Challenges & Solutions
An important challenge was to create the system considering critical aspects of the business model that no other software could adapt to, such as allowing a person's subscription to be paused without canceling it, while still generating direct debits correctly without considering people with paused slots. Another challenge was to allow clients whose payments came from other clients or for minors to register the payer who is not a client, and that month after month the SEPA files could be generated without errors. The second module was to create the class calendar, allowing the bulk creation of classes in the calendar through templates and alternating weeks so that each class would take place in one of the two available rooms one week and then rotate to the other room the following week.
Results
Since the implementation of Benefisio App, the center has experienced a 45% reduction in time spent on administrative tasks. By keeping better track of available slots, more clients have been able to enroll much more efficiently. The automation of reminders has reduced last-minute cancellations by 40%, optimizing resource use and improving the experience for both clients and instructors.
